This policy explains what personal data Bookwick collects, why, and the rights you have over it.

Who we are
Bookwick (“we”, “us”) provides booking and scheduling software to businesses. For data you provide directly to us about your own account, we are the data controller. For the personal data your customers submit through your booking page, you are the controller and we act as your data processor. Data we collect
We collect the following categories of personal data:
- Account data - the name, email and password of business owners and staff who sign up.
- Business data - the services, staff, locations, hours and settings you configure.
- Customer booking data - the names, contact details, appointment details and any intake-form answers your customers provide when they book with you.
- Payment data - when you take payments, card details are collected and processed directly by Stripe. We do not store full card numbers.
- Usage and device data - basic logs, IP address and analytics needed to run and secure the service.
How we use data
We use personal data to:
- Provide the booking platform and your dashboard;
- Send transactional messages such as booking confirmations and reminders;
- Process payments through Stripe where you enable them;
- Provide support, prevent fraud and keep the service secure;
- Comply with our legal obligations.
Our lawful bases are the performance of our contract with you, our legitimate interests in running and improving the service, your consent (where required, for example non-essential cookies), and compliance with legal obligations.
Who we share data with
We share data only with the service providers needed to run Bookwick, under appropriate data protection terms. These include our cloud hosting and database provider, our email delivery provider, Stripe for payments, and Google where a staff member chooses to connect their Google Calendar. We do not sell personal data.
How long we keep it
We keep account and booking data for as long as your account is active, and for a limited period afterwards to meet legal, accounting and dispute-resolution needs. You can ask us to delete data sooner, subject to those obligations.
Your rights
Under UK GDPR you have the right to access, correct, delete, restrict and port your personal data, and to object to certain processing. Where a business uses Bookwick to take your booking, that business is the controller of your data - contact them first, and we will support them in responding. To exercise a right or raise a concern, email hello@bookwick.com. You also have the right to complain to the Information Commissioner’s Office (ICO).

Security
We protect data with encryption in transit, access controls and encrypted storage of sensitive secrets. Read more on our security page.
