Privacy Policy

Who we are

Bookwick is part of Vioscale Technologies Ltd (“we”, “us”), which provides booking and scheduling software to businesses. For data you provide directly to us about your own account, we are the data controller. For the personal data your customers submit through your booking page, you are the controller and we act as your data processor. Our registered details are Vioscale Technologies Ltd, 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ, United Kingdom, company number 14751646, registered in England and Wales.

Data we collect

We collect the following categories of personal data:

• Account data - the name, email and password of business owners and staff who sign up.
• Business data - the services, staff, locations, hours and settings you configure.
• Customer booking data - the names, contact details, appointment details and any intake-form answers your customers provide when they book with you.
• Payment data - when you take payments, card details are collected and processed directly by Stripe. We do not store full card numbers.
• Usage and device data - basic logs and IP addresses needed to run and secure the service, and, only if you agree to analytics cookies, how our website is used (through Google Analytics). We do not use advertising trackers.
• Privacy agreements - when someone books through a booking page, the date they agreed to Bookwick’s privacy policy and, where the business asks, to the business’s own.

How we use data

We use personal data to:

• Provide the booking platform and your dashboard;
• Send transactional messages such as booking confirmations and reminders;
• Send business owners and their teams news about Bookwick, such as new features. Every one of these emails has an unsubscribe link, and unsubscribing does not affect emails you need about your account;
• Process payments through Stripe where you enable them;
• Provide support, prevent fraud and keep the service secure;
• Comply with our legal obligations.

Our lawful bases are the performance of our contract with you, our legitimate interests in running and improving the service, your consent (where required, for example non-essential cookies), and compliance with legal obligations.

Who we share data with

We share data only with the service providers needed to run Bookwick, under data protection terms: Vercel (hosting and file storage), Neon (our database, in London), Resend (email), Twilio (text messages, where used), Google (Analytics on our website with your consent, maps on booking pages, and Google Calendar where a staff member connects it), and Stripe or PayPal for payments. The full list of providers that process your customers’ data is in Annex C of our Data Processing Agreement. We do not sell personal data.

Our data is stored in the United Kingdom. Some providers may process it in the United States. Where data leaves the UK, we protect the transfer as UK GDPR requires: through UK adequacy regulations (including the UK Extension to the EU-US Data Privacy Framework), the ICO’s International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses.

How long we keep it

We keep account and booking data for as long as your account is active, and for a limited period afterwards to meet legal, accounting and dispute-resolution needs. You can ask us to delete data sooner, subject to those obligations. When a business is deleted, its data is removed from our live systems straight away and from backups within 30 days.

Your rights

Under UK GDPR you have the right to access, correct, delete, restrict and port your personal data, and to object to certain processing. Where a business uses Bookwick to take your booking, that business is the controller of your data - contact them first, and we will support them in responding. To exercise a right or raise a concern, email info@bookwick.com. You also have the right to complain to the Information Commissioner’s Office (ICO).

Cookies

We use essential cookies to keep you signed in and protect your account. Optional cookies, Google Analytics on our website and Google Maps on booking pages, are only set if you agree, and you can change your choice at any time. See our Cookie Policy for the detail.

Security

We protect data with encryption in transit, access controls and encrypted storage of sensitive secrets. Read more on our security page.
